The Role

We're seeking a dynamic Virtual Assistant who is part operational wizard, part marketing detective, and entirely committed to driving our company's efficiency and growth. This isn't just an administrative role – it's a critical position that will touch every aspect of our creative ecosystem, from talent acquisition to performance reporting.

Your ability to anticipate needs before they arise isn't just a skill – it's an art form.

Key Responsibilities

  • Talent Acquisition
    • Sourcing and outreach to top digital creatives for multiple open roles simultaneously
    • Maintain and optimize our talent database with surgical precision
  • Analytics and Reporting
    • Build daily, weekly, and monthly analytics reports in Meta Ads Manager
    • Create detailed performance dashboards and team scorecards
  • Research and Insights
    • Conduct deep-dive research on clients, products, and industry trends
    • Stay ahead of social media advertising trends and produce concise, actionable research reports for the team
  • Process Documentation
    • Document company processes, creating comprehensive training materials
    • Develop video and written guides that can onboard anyone to our workflows
    • Organize and maintain our knowledge base in Notion
  • Accountability Champion
    • Proactively manage project timelines across multiple team members
    • Create systems to ensure consistent deadline achievement

Technical Competencies

  • Mastery of: Google Suite, Notion, Excel (advanced analytical skills), AI Productivity Tools (ChatGPT, etc.)
  • Proficiency in: Meta Ads Manager, LinkedIn Marketing, Canva or Photosho, Project Management Platforms, CRM Systems are a plus

Ideal Candidate Profile

  • 1-2+ years experience providing administrative and logistical support to an entrepreneur or business executive, in project management or in customer service.
  • Experienced in digital, performance or social media marketing is a plus.
  • Proven ability to learn new skills rapidly
  • Manages multiple complex projects simultaneously
  • Advanced AI tool utilization skills
  • Exceptional process documentation experience
